Unpaid invoices$0.000 unpaid invoices
Paid invoices$0.000 paid invoices

Values include recorded tax, shipping and additional charges. Voided records are excluded. Paid totals reflect invoice status, not bank deposits, fees, or accounting revenue. Invoice totals use the saved quote amounts.

Paid orders awaiting fulfillment

Shows saved quote dates. To schedule an order in Google Calendar, use its Add to Google Calendar link below. Automatic two-way sync would require a separate Google authorization integration.

Shipping & tax

Texas orders default to 8.25% on print items and additional charges (not shipping). Out-of-state orders default to no tax; review destination-state obligations before invoicing. Confirm Square tax separately.

Invoice tools

Save the quote first. On a new Mac, click Sync Print Sales folder before creating an invoice. Customer folders are created automatically when a PDF is generated or an invoice is sent. Square Production invoice creation uses the separate authenticated Cloudflare Worker.

PRODUCTION: Sending a Square invoice can email a real customer and accept real payment. Confirm the customer email and total before clicking Send Invoice. The Production Worker must also be explicitly unlocked. PDFs remain stored in Supabase.

How to use the estimator

Create a print quote, save it to the cloud, generate an invoice PDF, and send a real Square invoice. Use Open Quotes for drafts, Open Orders for invoiced jobs, and Archive for paid and fulfilled or voided jobs.

Workflow: Saved drafts appear in Open Quotes. Creating an invoice PDF or Square invoice moves the job to Open Orders. Once both Paid and Fulfilled are checked, it moves to Archive. Voided records also remain in Archive.
Production system: “Send Invoice” creates a real Square invoice and may email the customer. Verify the email address, line items, total, and tax treatment before sending.

1. Create and price a quote

  1. Open Estimator and select + New quote.
  2. Fill in the customer name, email, quote date, and job/artwork reference. Confirm the automatically proposed quote number.
  3. Enter print width, height, quantity, and paper. Choose Standard (Matte / Luster) or Premium (Hahnemühle / Canson).
  4. For custom pricing, enter a Unit price override. This replaces the automatic per-print price for that line only. Optionally enter a line description.
  5. Click Add print for each item. Type the Artwork name into the new text box in each added print row. The artwork title is saved in the line-item description and appears on the PDF and Square invoice item note. Review the live invoice preview, then enter shipping and delivery destination in Shipping & tax, and additional charges or notes as needed.
  6. Click Save quote to cloud. After the first save, edits can auto-save; check the save indicator before leaving the page.

Size limit: at least one print dimension must be 44 inches or less, and neither dimension may exceed 120 inches.

2. Review shipping and tax

Texas / Austin pickup

The estimator defaults to 8.25% tax on print items and additional charges, excluding shipping.

Shipped outside Texas

The estimator defaults to no tax. Review applicable destination-state obligations before invoicing. Use Tax exempt only when appropriate.

Square calculates its invoice details separately. Confirm the actual Square invoice total and tax before sending; the estimator preview alone is not the final payment request.

3. Generate and save an invoice PDF

  1. Save the quote first.
  2. Click Generate & store invoice PDF to create the branded PDF and save it in the connected cloud records.
  3. On a new Mac or after browser permissions expire, click Sync Print Sales folder (this Mac) and select iCloud Drive / Haus Obscura / print sales. This is required before creating a PDF or sending a Square invoice on that Mac. After connection, the button hides and the customer folder is created automatically when you generate a PDF or send an invoice. Nothing is sent until you explicitly click Send Invoice and confirm.
  4. Use the PDF ↓ button in Archive to retrieve a stored PDF.

4. Send a Square invoice

  1. Verify customer email, pricing, shipping, and tax, then save the quote.
  2. Click Send Invoice and review the confirmation carefully. This is a live Production action.
  3. Use Open Square invoice (or Invoice ↗ in the archive) to inspect the invoice in Square.
  4. Once a customer pays, Square's payment webhook should update Invoice Paid automatically. Refresh Archive to confirm.
Important: Editing a quote after creating its Square invoice does not update the invoice already in Square. Handle any changed pricing in Square and confirm the replacement invoice process before asking the customer to pay.

5. Manage Open Quotes, Open Orders, and Archive

Find and reopen work

Search by quote number, customer, email, or job. Filter by payment status (Draft, Unpaid, Paid, Void) and fulfillment. Select Open to return to a quote.

Complete an order

When printing, packing, and handoff are finished, check Fulfilled. Paid and Fulfilled are separate statuses.

Duplicate or revise

Duplicate as new copies the current items into a new unsaved quote with a new number. Stored invoice PDFs may show revision numbers in the archive.

Void, restore, or delete

Void marks a quote inactive; Restore reactivates it. Delete is only available for eligible unsent, unpaid quotes without a Square invoice.

Export Excel downloads the archive for your records. Copy quote summary copies the current quote details for sharing.

6. Everyday checklist

  1. Before sending: correct customer, print sizes, paper, quantity, price, shipping, tax, and email.
  2. After sending: confirm the Square invoice link and that the quote shows as sent.
  3. After payment: confirm Paid updates automatically; don't manually mark a payment just to make the status appear.
  4. After fulfillment: mark Fulfilled, then use Archive to track remaining open jobs.

If Square or PDF creation fails, keep the quote saved and read the on-screen error before trying again. Avoid repeatedly clicking Send Invoice until you've checked whether Square already created an invoice.
